There are a number of tasks that must be accomplished before coming to the School of Conservation (SOC). Below is a checklist of tasks that need to be completed prior to your trip. First
Steps in Planning Your Trip
You will need approximately 1 adult for every 12
students. This adult/student ratio lends itself
well to the outdoor teaching environment and to the
logistics of lodging and dining.
* Contact Jennifer and make your reservations
* Return contract with 10% deposit and Menu Selection Form.
* Divide your group into subgroups of approximately
12.
* Select sessions from the Session Description
Page. Our educational philosophy strongly
encourages you to select at least 1 class from
each of our 4 programming areas.
* Choose and book your Evening
Providers.
* Contact the program coordinator and let him/her
know which day sessions you have selected and what
evening programs you have booked so that he can
construct a schedule for your trip and
mail/fax/e-mail it to you.
* Fill out a News Release Form so
that we may report your trip to the local paper.
*The Program Coordinator will make all bus
arrangements should you need a bus or buses for
trips off of the NJSOC campus. The bus company will
invoice your school after the trip.
Final
Steps in Planning Your Trip
*Assign 12 people (10 students and 2 adults or 11
students and 1 adult) to each table in the dining
hall. Tables only have 12 seats so don't assign any
more than 12.
*Assign cruisers for each meal (1 cruiser per table
per meal).
*Assign students and chaperones to cabins and/or
dormitories.
*Require each student’s parent(s)/guardian(s) to
fill out the Medical Permission Slip and
Authorization Forms (PDF).
*Return a Student Roster & Facility Use Form no later
than 30 days prior to arrival.
*Provide Jennifer with a list of teachers who are
interested in receiving NJ Professional Development

*Distribute lesson plans to
teachers who are being trained to provide a
session.
*Distribute schedules to teachers, chaperones, and
students. Specific schedules are available
upon request for Teachers, Students, and
Chaperones.)
Upon
Arrival
*Meet with your NJSOC contact to pick up the 1)
meal count sheet, 2) evaluation form, 3) cabin
inspection forms, etc.
*Give Medical Forms and any
medication to the NJSOC nurse, Virginia Sabia,
R.N.
*Inspect living quarters for damages, fill
out cabin inspection forms, and return
them to the office. All buildings are inspected
immediately after a school leaves by the NJSOC
Maintenance Department. Failure to report damages
may result in a fine if unreported damages to
living quarters are discovered after your school
leaves.
*Inform everyone in your group about the time and
location of the first event: Orientation.
Please inform your bus provider that NJSOC policy
requires that bus drivers not idle their engines
while loading or unloading accept in cold weather
conditions when diesel fuel may be adversely
affected by shutting off the engine. This action
greatly reduces air pollution.
